Department Information
This position supports the Academic Support Center (ASC) and the Overseas Study and Scholarship Program (OSSP) which are part of the Office of the Vice President for Diversity, Equity and Inclusion (OVPDEI) Department.
Academic Support Center (ASC) serves as a go-to academic resource within the residence halls, providing students with a wide range of support services to help them meet the academic demands of college-level work.
Overseas Studies and Scholarship Program (OSSP) provides study abroad support to students by hosting study abroad events, administering study abroad scholarships, and running short-term study abroad programs.

Job Summary
The position duties and responsibilities are significant in meeting the ASC and OSSP's operational goals of providing academic support and study abroad resources and in creating a more engaged, successful, and transformative undergraduate experience for a wide range of students. There is a centralized workstation, however, the incumbent will be asked to work in multiple work sites on campus.
Department Specific Responsibilities
  • Maintains departments' online events calendars and post events to IU calendar.
    plan and execute department events, tracks attendances.
  • Initiates travel reservations, travel pre-approvals, any other required travel documents. Works closely with IU Travel to ensure compliance with changing travel guidelines, policies, and procedures.
  • Utilizes business software applications to prepare correspondence, HR documents, reports, presentations, agendas, minutes, etc.; assist in the compilation of data for assessment and statistical reports.
  • Organizes office operations and procedures, such as creation of Word and Excel files, bookkeeping, flow of correspondence, filing, and other office services.
  • Assists with study abroad scholarship reviewing, processing, and database.
  • Helps with customized short-term study abroad programs.
  • Provides support to various events hosted by both OSSP and ASC.
  • Partners with other campus programs to do outreach about academic support on campus, especially during the summer and fall.
  • Represents both OSSP and ASC in public/student facing events and programs.
General Responsibilities
  • Provides administrative support to ASC and OSSP departments, exercising confidentiality, tact and diplomacy.
  • Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports.
  • Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses.
  • Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
  • Participates in the development and implementation of administrative standards, policies and practices for the organization.
  • May perform other duties related to maintaining an internal website and/or working with social media.

EDUCATION
Required
  • High school diploma or equivalent (such as HSED or GED)
WORK EXPERIENCE
Required
  • 2 years of relevant experience
Preferred
  • 1 year of experience with event planning and coordination
  • Experience working with international programs preferred

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. Must be able to lift up to 30 pounds and possess the ability to carry, assemble, and set-up exhibit equipment, display boards, chairs, and tables. The person in this role must be able to perform the essential functions with or without an accommodation.

$35,000 - $38,000 annually
